COVID -19

SPA POLICIES AND PROCEDURES

 FACE COVERINGS ARE NOW REQUIRED:  

  • All guests are required to wear a face covering that fully covers the nose, mouth, and chin at all times within any indoor public premises (including the hotel); as per Canmore Bylaw 2020-20.  We ask that you arrive wearing a new disposable face mask, or a CLEAN freshly laundered face covering. 

  • If you are a guest with an underlying health condition that hinders your ability to wear a face covering, we kindly ask that you please wait to visit us at a later date when it is safer for you to do so.  

  • Services that require the removal of a face covering, are permitted to be removed ONLY for the duration of the service, as necessary to receive the treatment.  Please do not remove your face covering until otherwise instructed.  The same face covering may be put back on after your service, so long as it is kept dry and clean.  We recommend bringing a clean re-sealable plastic bag to store your mask safely during your visit.  

  • When applicable to services that require a duration of the treatment positioned face-down;  If you do not feel comfortable wearing a face mask/covering while face-down, or at any time experience difficulty breathing while face-down during a treatment, your mask may be removed.  Once moved to a supine (face-up) position, you will be required to reapply a face covering.  At which time the service provider will need to perform a proper hand washing routine, as well yourself a hand hygiene routine, prior to accessing, and reapplying a face covering.  These actions are required as per health regulations, and may cause a slight disruption to your service.

  • Masks should be changed at the first sign of dampness.  If you prefer to wear your own, we recommend bringing an extra CLEAN freshly laundered face covering stored in a clean re-sealable plastic bag, in case you find the need to change it during your visit.  

COVID-19 PRE-SCREENING & GUEST WAIVER:

  • As circumstances can change quickly, a COVID-19 Guest Waiver is required PRIOR to the booking date, as well a COVID-19 Health Assessment on the day of the booking.  A mobile device is needed to scan a QR code to fill out your online health assessment on the day of your appointment. If you do not have a mobile device, please notify us in advance so we may send you an email link to this form instead.  Please note, entry to the spa cannot be granted until this form is complete and submitted to our admin team.  

PREVENTATIVE SICK POLICY:

If you are sick or show signs of any illness, please cancel your appointment.  we kindly ask that you stay at home. We reserve the right to respectfully refuse any service to those that arrive showing even the mildest of symptoms relating to COVID-19.  

We have also implemented a strict Sick Policy for our staff to respect those same preventative measures to our guests.  We kindly ask that you please be understanding, especially in this time of uncertainty, that although we will do everything we can to get another service provider to cover an appointment, should an employee fall ill, we may not always be able to fulfill your appointment(s).  

PLEASE DO NOT BOOK IF:
You or anyone in your household or group cohort have experienced any of symptoms related to COVID-19 in the past 14 days. 

  • Fever

  • Sore throat

  • Cough that is new, or escalation of a chronic cough

  • Shortness of breathe

  • Difficulty breathing/shortness of breath that is new or worsening (not associated with a previous health condition)

  • Runny or stuffy nose  (not associated with allergies or a pre-existing health condition)

  • Body chills

  • Loss in sense of smell or taste

  • Any other secondary symptoms of COVID-19 or any other sickness that may risk the health of others

  • You, or any member(s) in your household or group cohort have travelled outside Canada within the past 14 days.

  • You, or any member(s) in your household of group cohort have been diagnosed with COVID-19 in the past 21 days.

  • You, or any member(s) or group cohort have been in contact or linked to a  probable/possible case currently in question, and/or a confirmed case of COVID-19 in the last 21 days. 

  • You, or any member(s) or group cohort have been ordered to self isolate

  • You have an underlying health condition that inhibits you from wearing a face covering.

 

SPA BOOKING POLICY

  • All bookings must be secured with a valid Visa or MasterCard number, expiry date and CVV (3 digits on the back of the card).  A Gift Certificate with a remaining balance of 50% of the services booked, may also be used to secure a booking.  

  • We now require an email address to send any treatment intake forms, as well our COVID-19 Guest Liability Waiver Form PRIOR to the appointment date.  If you are making the booking for a group, or someone other than yourself, you must ask them for consent before providing us with their email address.  Otherwise they may email their address to us at info@bodhitreespa.ca

  • Our treatments are designed for adults and not conducive to children.  Guests must be 16 years or older to experience spa treatments.  Guests between the ages of 16-18 must have a parent or guardian sign their COVID-19 Guest Liability Release Waiver, as well the COVID-19 Health Assessment on the day of your booking.   

CANCELLATION POLICIES:

STANDARD CANCELLATION POLICY:

  • We require a minimum of 24 hours notice for single services, and 48-72 hours for multiple services and/or packages.  This includes any modifications to treatments and/or cancellations to avoid a 50% service charge to the credit card number given at the time of booking.

  • For group bookings of 5 or more guests, we require a minimum of 5 days notice for any modifications on services or cancellations to avoid a 50% service charge to the credit card number given at the time of booking. 

COVID-19 CANCELLATION POLICY:  

We understand COVID-19 can affect anyone at anytime.  As the case may be, the need to cancel because your child has been made to stay home from school due to COVID-19, or perhaps you have come into contact with a probable or confirmed case of COVID-19.  Whatever the reason, we recognize that situations can change very quickly.  

We ask that you please cancel in due time when possible.  If you experience "sudden" onset (day of/night before) symptoms relating to COVID-19, cancellation fees will be waived.

HOWEVER, failing to notify the spa, providing falsified or altered information, or arriving with symptoms relating to COVID-19, will result in full charges of the treatments booked to the credit card given at the time of booking.  as well the polite request to leave the premises. I agree to pay full charges in respect to these terms as I understand treatment rooms, and therapist times are reserved for the time specific to my booking. I understand the need to fully charge for a booking is to compensate in part the service providers who have lost income due to untimely cancellations, or circumstances otherwise.

 

It is important to us that you understand when we charge 50% or 100% for the policies stated above, it is in part to compensate the service providers who have lost income due to untimely cancellations.

  • Fever

  • Runny or stuffy nose  (not associated with allergies or a pre-existing health condition)

WHAT TO EXPECT:  As we are excited to welcome you back, it is important for us you understand, that we have had to make the necessary changes to adhere to the mandated COVID-19 health and safety protocols, as required by Alberta Health.  Please be mindful these practices are set in place to ensure the safety and wellbeing of yourself, other guests, our team and community.

SPA AMENITIES ON HOLD:

 Access to the spa lounge, outdoor hot tub, steam room, locker room, and showers are unavailable at this time.  These limitations are set to adhere to guidelines mandated by Alberta Health.  These amenities are not owned by Bodhi Tree Spa, and do not reflect the cost of spa services.  Discounts will not be applied as a result of these amenities being temporarily unavailable at this time.  
Robe service is limited to guests having spa packages at this time.  As per Alberta Health guidelines, change rooms are only permitted for limited use, or otherwise discouraged when possible.  With "lounge relaxation time" after services, we have made the difficult decision to hold robe service at this time.  

PEDICURE TREATMENTS:  For those of you having pedicure treatments, please arrive wearing

Please arrive wearing comfortable attire with pants/leggings that can easily be rolled up for our hydrotherapy pedicure tub.  As robe service and change rooms are unavailable for services other than spa packages, please imited use, we cann

  • As a courtesy to our other guests, we respectfully request that you refrain from bringing any outside food, drink, or alcohol to the spa.  We understand that some of our spa packages may take up to 5 hours to experience, and most guests will need to replenish their energy at some point during the day.  Should you wish to leave time between a spa package to enjoy lunch outside the spa, please let us know at the time of booking.

  • Please refrain from any conversations on your cell phones, and turn off any electronic devices to avoid disrupting any treatments being enjoyed nearby.

 

  • For group bookings, and groups celebrating special occasions, we understand your visit to the spa may be of a social nature.  Please keep in mind that other guests who are not part of your social gathering are here to escape to a tranquil environment.  Therefore, we kindly ask that you keep your voices to a minimum as sound easily travels through the spa. 

  • Our treatments are designed for adults and not conducive to childrenGuests must be 16 years or older to experience spa treatments.  Guests between the ages of 16-18 must be accompanied by an adult to sign for consent of a minor.

 

  • Alcohol is NOT permitted in the spa.  Unfortunately we are not licensed to allow guests to have liquor in the spa. 

 

It is important to refrain from drinking alcohol before your treatments.  Consumption of alcohol before, during and directly after spa treatments is not recommended.

Please inform us of any medical or health conditions we should know prior to arriving for your appointment(s).  This includes, high blood pressure, heart conditions, allergies, pregnancy, physical limitations, and any other health contraindications that may pertain to your spa treatment. If there are any contraindications that may conflict with or affect the treatment booked, an alternative service will be recommended and/or the service will be customized to ensure the health and safety of both the guest, and service provider. 

Our treatments are designed for adults and not conducive to children. Guests must be 16 years or older to experience spa treatments.

Please arrive a minimum of 10 minutes prior to your scheduled treatment time to ensure your full experience of the treatment booked. Unfortunately no matter how late you arrive, your treatment will conclude at the scheduled time, and full charges will apply. This is necessary to ensure that the next guests appointment is not affected. If arriving late, your treatment will be customized to accommodate the remaining time

Please be mindful of noise upon arriving at the spa. Our environment is of a tranquil setting, and guests will be enjoying treatments in nearby rooms. Please keep your voices to a minimum when talking in our common spa space, and turn off all electronic devices to avoid disturbing other guests.
